Key Responsibilities:
- Oversee day-to-day administrative functions to ensure smooth and efficient operations.
- Maintain office supplies inventory by checking stock and ordering new supplies when necessary.
- Organise and schedule meetings, appointments, and conference calls.
- Prepare and edit documents, reports, presentations, and correspondence.
- Handle incoming and outgoing communications, including emails, phone calls, and mail.
- Coordinate travel arrangements, itineraries, and accommodations for staff as needed.
- Maintain physical and digital filing systems to ensure efficient access to information.
- Support human resources activities, including maintaining employee records, processing leaves, and coordinating on boarding.
- Assist with facilities management, ensuring a clean, safe, and efficient working environment.
- Manage vendor relationships and ensure timely payment of invoices.
- Monitor and manage office budget, ensuring cost-effective use of resources.
- Ensure compliance with company policies and procedures.
Requirements:
- Bachelor’s degree in Business Administration, Office Management, or a related field.
- Proven experience as an Admin Executive, Office Administrator, or similar role.
- Excellent organisational and multitasking skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and office management software.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong problem-solving skills and attention to detail.
- Time management skills and ability to prioritise tasks efficiently.
